Office Support Coordinator

This is a Full Time job - Monday through Friday from 7:30 a.m. to 4:00 p.m. at our Community Support Office location in Greenwood Village (I-25 & Belleview)

Below is the Job Description for this position:

Position Summary:

First point of touch for individuals who contact the Organization to inquire about care, services, vendor relationships, employment inquires, and resident, guest or family member support Services. Greets, informs and directs others visiting the Community Support office appropriately. Coordinates database information. Gathers, assembles, communicates and maintains information, reports, collateral and supports administrative functions of all departments within the Community Support office.

Essential Duties:

  • Answers the main inquiry phone line ensuring calls are properly directed and that messages are accurate and delivered in a timely manner.
  • Triages inquiries for services and care provided by CLC. Gathers information from callers to direct the call correctly.  Requires knowledge of the overall functions of each community and service, and appropriate team contacts.
  • Greets and directs all visitors, vendors, residents and family members.
  • Multi-database support for the purpose of maintaining CLC corporate relationship management database to include inputting updated information on families, associates and vendors.
  • Creates and organizes organization-wide forms and form folders in addition to maintaining a review system for all forms.
  • Responsible for coordinating and ordering corporate business support materials to include but not limited to letterhead, envelopes, name badges and business cards.
  • In support of all departments, maintains the stock of, review and printing of materials such as resident handbooks, forms, reports and price sheets.
  • Occasional gift processing under the direction of the Donor Relations Manager.
  • Manages department credit cards, including properly coding receipts and reconciling with statement.
  • Monitors and orders stock office supplies, keeps office workroom neat and orderly, and serves as contact for office equipment services.
  • Ensures that someone from Christian Living Communities answers the main phone line at all times.
  • Keeps the reception area orderly and stocked with CLC brochures.
  • Sorts and distributes incoming mail.
  • Writes and sends letters as requested and coordinates mass mailings.  Supports Community Support office team and communities with various projects as time permits.
  • schedules and reserves meeting rooms and shared office equipment.
  • Support the Executive Assistants with conference room set-up for meetings and arranges refreshments when requested.
  • Responsible for encouraging, participating and integrating Masterpiece Living and Eden Alternative initiatives by supporting successful aging and person-centered programs and culture.
  • Other duties as assigned.

Basic Qualifications & Experience:

  • High school diploma or equivalent advanced education preferred.
  • Minimum of three years of experience in a business office environment, preferably in senior care.
  • Must have excellent customer relation skills with all contacts, both in person and on the telephone (English)
  • Strong technical/administrative skills to include computer work processing and working knowledge of multi-extension, multi-line phones.
  • Proficient in Microsoft Office suite especially Excel.
  • Date base experience required, and aptitude for various specialized software programs.
  • Must be able to read, write and speak the English language.
  • A valid Colorado State Driver’s license in good standing.

Working/Physical Conditions:

  • Moderate physical effort required by handling objects up to 50 pounds occasionally and/or up to 20 pounds frequently.
  • Sits, stands, bends and moves intermittently during working hours.
  • Is subject to frequent interruptions.
  • Interacts with donors, families, volunteers, residents and numerous other staff members.
